College-unit RBAC on every row.

A Westmark asset manager sees Westmark assets. A Riverpoint asset manager sees Riverpoint assets. A config_admin sees all. The scope is enforced server-side, not in the query.

Read API in JSON or CSV.

Every asset, every field, every history event is queryable through the Habeo Read API. Federal-property and GASB roll-forward are first-class export formats.

FERPA-aware on student equipment.

Student-employee assets recognized as a distinct attribution. PII handling in custom fields and exports respects FERPA scope.

Soft-delete only.

No hard deletes from the UI or the API. The audit trail captures every "retired" or "disposed" transition; the row is preserved for audit recovery.

What can Habeo track?
Everything a university holds: laptops, desktops, tablets, lab instruments, AV racks, network gear, furniture exceeding capitalization threshold, capital equipment, library equipment, athletic equipment, vehicles, and software / SaaS licenses. The asset taxonomy ships configured with 24 default categories and is extensible per institution — add a "Telescope" category for the astronomy department; nobody waits on a consultant.
Do we need to migrate everything before we start?
No. Habeo is happiest in parallel with whatever spreadsheet or ServiceNow tenant you're trying to leave. MDM-discovered hardware lands automatically. Non-MDM assets import via /assets/import (CSV, column-mapping, dry-run). The Habeo Copilot can answer questions across both immediately; your team migrates the long tail as time permits.
Can we add custom fields?
Yes. /settings/asset-fields lets a config_admin define custom fields per category — "NSF award number" for lab equipment, "BMI rated 2x" for AV equipment, "Calibration due" for instruments. Custom fields are first-class — searchable, filterable, exportable, queryable via the Habeo Copilot.
How does asset tagging work?
Habeo issues serial-or-format-flexible tag IDs (default: ORG-CATEGORY-NNNNN, e.g. ORG-MBP-22841). Print labels directly from the asset page — Brother QL-820NWB, Zebra ZD420, and standard Avery sheets are supported out of the box, with bulk-print queueing from /assets/print. QR-code variants ship for scanning workflows.
Can users see only their assigned assets?
Yes — every user has a "My equipment" surface on /me. It shows their assigned assets, refresh status, recent activity, and a self-service "Report damage" / "Return to surplus" form. The Habeo Copilot in Slack and Teams gives them the same view conversationally.
What about historical data?
Every asset has an immutable history: created, assigned, transferred, repaired, refreshed, retired, disposed — every state change preserved with timestamp, actor, source (UI / Copilot / MDM sync / Workday event), and the diff applied. Habeo doesn't allow hard deletes; "delete" is a soft state transition recorded in the same ledger.
